Food Army Discord Bot Privacy Policy
Effective August 5, 2026
Scope
This policy describes how the Food Army Discord Bot processes information while operating in the Food Army Discord server.
Information processed
The bot may process and store:
- Discord server, application, user, role, and channel identifiers;
- Code of Conduct acceptance version and timestamp;
- selected roles and functions;
- scoped lead and facilitator authority assignments;
- private support-case participant identifiers, exclusions, status, and timestamps;
- guild-reset operation state; and
- limited audit metadata describing administrative and workflow actions.
Information not retained by the bot
The bot does not maintain its own copies of:
- ordinary Discord message content;
- message attachments;
- private support transcripts;
- board-inbox message bodies;
- support-form message bodies; or
- the Discord bot token.
Some form content may be handled transiently and delivered to an authorized private Discord channel. That content remains subject to Discord's own storage and privacy practices, but is not copied into the bot's SQLite database. The bot does not request Discord's Message Content privileged intent.
How information is used
Information is used only to:
- operate Food Army onboarding and Code of Conduct acceptance;
- assign and reconcile roles and functions;
- enforce scoped administrative authority;
- create and close private support cases;
- deliver Board inbox submissions;
- reconcile the server with Food Army's declared structure; and
- diagnose or audit those operations.
Food Army does not sell information processed by the bot or use it for advertising.
Sharing
Information is transmitted through Discord as necessary to operate the bot. Bot state is processed on infrastructure operated for Tucson Community Online. Information is not otherwise shared except when required by law or explicitly directed by the affected user.
Retention
Support-case participant and status records are removed when the support case is closed. A limited audit record of the action may remain.
Code of Conduct acceptance, role assignments, authority grants, object mappings, and audit metadata remain while needed to operate the Food Army server. They may be removed when no longer necessary, when the bot is retired, or following an applicable deletion request.
Access, correction, and deletion
To request access to, correction of, or deletion of information associated with your Discord account, email tucsonfoodarmy@gmail.com. You may also submit a private request through the Food Army Board inbox while you have access to the server. Requests may require confirmation of the affected Discord account.
Deleting bot-maintained information does not automatically delete information stored independently by Discord.
Security
The bot uses restricted service access, isolated storage, Docker-managed secret delivery, and limited network routes. No system can guarantee absolute security.
Changes
This policy may be updated when the bot's functionality or information practices change. The effective date above will be updated when material changes are published.
